Administrative & Communication Assistant

Full Time, 37.5 hours/ week

1-year term position with the possibility of extension or permanent placement

Our organization:

The Ya’thi Néné Lands and Resources Office works to protect the land and promote the interests of all Athabasca residents including Black Lake, Fond du Lac and Hatchet Lake Denesųłiné First Nations, Stony Rapids, Wollaston Lake, Camsell Portage and Uranium City.

Position:

The successful candidate will play an integral role in a vibrant and energetic team and should be able to manage a variety of duties engaging with employees, contractors, industry agencies and the public. Under the direction of the Corporate Affairs Manager the Administrative/ Communications Assistant will be focused on a variety of administrative and communication tasks that support the office and its staff. This includes assistance with general administration, booking travel, expense reimbursement, filing, drafting correspondence & reports, and taking minutes at meetings. Develops and executes all YNLR internal communications and external communications such as: articles, newsletters, bulletins, updates to social media, websites, and promotional activities and plans and manages the events of the YNLR and aids on other matters as directed.

Responsibilities:

·        Plan and organize engagements, media, and external communication activities such as membership meetings, townhalls, leadership meetings, and other special events, requiring after-hours support.

·        Assist with content development, proofreading and editing materials for newsletters and distribution of communication materials.

·        Maintain and update the Ya’thi Néné website and social media pages.

·        Format information for internal and external communication includes memos, emails, presentations, newsletters, and reports.

·        Answer incoming calls, deal with inquiries, re-direct calls appropriately, and initiate outgoing calls as required.

·        Collect and distribute all incoming and outgoing mail and faxes.

·        Book travel, including hotels and airfare as directed.

·        Develop requisitions and expense reports.

·        Record minutes of meetings, follow up on action items and distribute them as directed.

·        Maintain binders of administrative procedures and meeting minutes.

·        Perform photocopying, scanning, faxing and database entry.

·        Maintain the office filing system as well as online filing system.

·        Maintain a clean office environment and order office supplies as needed.

·        Provide administrative support to various committees and staff as directed;

·        Support the administration of the Athabasca Community Trust by collecting proposals, attending meetings, taking minutes, assisting applicants, and responding to inquiries.

·        Engage in other tasks and assignments as directed by the Executive Director.

·        Travel to the Athabasca Basin communities may occasionally be required.

Qualifications and Experience:

·        Post-secondary education diploma specializing in Marketing, Communications, Public Relations, or Journalism and/or an Office Administration certificate from a recognized educational institution with two years relatable experience.

·        Strong speaking, writing, editing and presentation skills.

·        Social media management experience.

·        Strong organizational skills and ability to prioritize workload in a fast-paced environment.

·        Proficient with the Microsoft Office suite, social media platforms; experience working with Canva and data entry;

·        Requires personal vehicle and valid driver’s license;

·        Experience working with First Nations or other Indigenous Communities;

·        Ability to establish and maintain relationships with leaders and other stakeholders;

·        Strong interest in working with the Athabasca Basin Communities to advance and protect their Aboriginal and Treaty Rights;

·        The ability to speak Dene is considered an asset.
